The challenge

Microsoft needed live, on-site customization for a back-to-school event at their Redmond campus. Sixty client-provided navy hats and canvas bags required patch application during a two-hour activation window. Load-in had to happen hours before guests arrived, with a hard out the same evening.

The activation

A two-person crew arrived at Microsoft Building 20 at 1:00 PM, staging heat press equipment ahead of the 3:45 PM guest start. Patches were applied live to client-provided navy hats and canvas bags throughout the event. Both item types ran through the same setup without a separate queue or slowdown. Teardown wrapped by 8:00 PM โ€” full load-in to load-out in a single afternoon.

The result

All 60 pieces were finished on-site during the two-hour activation. Guests left with decorated items produced in real time, on Microsoft's own campus.

Questions

Can you build something like this for another brand?

Yes. The exact method changes by artwork, traffic, venue, and guest profile, but the production model is repeatable.

Can this be adapted for a trade show booth?

Yes. Most case-study formats can be scaled into booth, lounge, or sponsor footprint versions.

Can you combine live and pre-produced merch?

Yes. Hybrid activations are often the best way to balance speed, premium options, and budget.
